Plumber Software for Service Calls, Scheduling and Field Work
A backed-up main does not wait for the office to find a spreadsheet. Opsler is plumber software for the service side of the business: log the call against the customer, put it on a plumber, quote the repair at the fault, pull the fittings off that truck, and leave with the invoice already sent.
Quick answer
For a service contractor, plumber software joins up eight things that otherwise live in eight places: service-call intake, scheduling, dispatch, the plumber’s work in the field, estimates, truck parts, invoices, and the history of what has already been done at that address. Opsler covers all eight on one record, so the price quoted in a crawlspace is the price on the invoice, and the parts that came off Truck 2 are the parts in the margin figure. Two seats are free forever, and Pro is $25 a seat with no minimum — a two-plumber shop pays for two.
Free forever on Budding: 1 admin seat and 1 plumber seat, 50 jobs a month, no card.

Plumber Software for Service Contractors, Not Design Tools
Type “plumber software” into Google and three unrelated products come back. One sizes pipe. One prices a bid off a drawing set and runs the schedule of values on a forty-unit build. The third runs the day: who is going where, what it costs, whether it has been paid. Opsler is plumber contractor software of the third kind, and if you are buying for a service and repair shop that is the one you want.
So here is the day this software for plumbers was built around, hour by hour, and what happens to each part of it once Opsler is running your board.
| The plumbing day | What Opsler does with it |
|---|---|
| The 6am call about water coming through a ceiling | Logged against the customer, priority set, on a plumber's lane in seconds |
| Booking a drain call and putting it on a plumber | Drag it into a lane, or Quick Assign it and move on to the next call |
| Quoting the repair at the fault, with options | Flat or Good-Better-Best, from your prices, signed before you pack up |
| Knowing which truck the 3/4in ball valves are on | Stock by named location, deducted from that truck when the call closes |
| Invoicing the visit and recording what was paid | Draft built from the completed call, sent from the driveway, 0% platform fee |
| Every previous visit to that address | Notes, photos and parts from every prior call, on the plumber's phone |
| The annual backflow test and the quarterly jetting round | A named series that keeps re-booking itself for as long as you want it to |
| The callback on work you already warranted | Coverage linked to the original call; covered lines bill at zero automatically |
Pipe sizing, riser diagrams, takeoff from a drawing set and new-construction project management live in a design or construction package, and plenty of good shops run both: they draw and bid the new work over there, and run the service board here. Opsler sits beside the drawing software and takes over the half of the business that pays the wages every week. If you want to see how the same operating model reads across the other trades, the home services software hub lists them.
Handle Emergency and Scheduled Plumbing Calls
Most plumbing service software falls over at intake, because intake is where the day is decided. A slab leak and a Tuesday faucet swap arrive through the same phone line and have to end up in very different places on the board. Opsler handles that with a service type, a priority and an address, captured once.

Set up in your own plumbing language
A new account starts on a general service configuration, so the first thing a plumbing shop does is make it theirs — and the product is built to be renamed rather than worked around. In Settings, Terminology renames Work Orders to Service Calls and Team Members to Plumbers everywhere, including the dashboard title and the emails your customers get. Service Types is where you add Drain Cleaning, Water Heater Service, Pipe Repair, Sewer Service and Emergency Plumbing with your own price and duration on each. Statuses lets you name and colour your own stages. It is your vocabulary, not a vendor’s idea of it.
Six priority levels that actually sort
Emergency, Urgent, High, Medium, Normal, Low. Emergency and Urgent share the top band of the unscheduled queue, then High, then Medium and Normal, then Low, and inside a band the call that came in first sits first. So the basement backing up is above the booked faucet swap without anyone dragging anything.
Scheduled work keeps its shape
A new account opens the book from 09:00 to 18:00, Monday to Saturday, with a 90-minute default call and a reminder 24 hours out. Business Hours in Settings changes all of it, which most plumbing shops do on day one because the truck rolls before nine.
From there the call becomes an assignment. That hand-off is covered in depth on plumber dispatch software, and the board itself on the Opsler dispatch board.
Schedule and Dispatch Plumbers
This is the part of job management software for plumbers that gets used four hundred times a week, so it is worth describing exactly rather than generously. The board has an unscheduled column on the left and one time lane per plumber on the right, in Day, Week or Map view.

Drag, or Quick Assign
Drag a call into a lane when placement matters. Use the assign button on the card when speed matters more.
Fixed and Flexible
A call the customer was given a window for is Fixed. A call that just has to happen today is Flexible. Only Flexible calls ever get moved.
Status from the van
Pending, Scheduled, On My Way, Arrived, In Progress, Paused, On Hold, Rescheduled, Completed, Cancelled — ten statuses, updated by the plumber, visible on the board.
Route optimisation on Pro
Give a plumber a day that stops sending them across town twice. Less of the afternoon behind the wheel, one more billable call squeezed out of it, and every window you promised a customer left exactly where it was.
Double-booked is something you find out now, not at 2pm
The moment you put a call on a plumber, Opsler checks it against everything else on that plumber’s day — the identical slot, the window overlapping by twenty minutes, the all-day job sitting on the same date — and names the call it runs into. You can still put it through, because on the morning a main lets go double-booking is frequently exactly what you mean to do. What changes is that you are doing it on purpose, with the collision on screen, early enough to make one apologetic phone call instead of taking an angry one later.
Booking further ahead, capacity and recurring visits sit on plumbing scheduling software, which is also where free-plan scheduling questions are answered properly.
Give Plumbers Work Orders that Function Offline
Plumbing happens in the places phones do not work: crawlspaces, mechanical rooms, basements under two feet of concrete, the back of a restaurant with a steel roof. A plumber app that needs a connection to open a work order is a plumber app that gets abandoned. Opsler installs straight from a supported browser onto an iPhone, an Android phone, a laptop or a desktop, with no app-store download required, and caches the day before the truck leaves.

Works with no signal
- Open an assigned service call with its full detail and prior visits
- Move it through On My Way, Arrived, In Progress, Paused and Completed
- Record the work, the labour and the parts used off the truck
- Tick the checklist for that service, item by item
- Capture before-and-after photos of the failure and the repair
- Take the customer's signature and close the call out
- Create the invoice and record the payment on the doorstep
When the truck has bars again
- Queued status changes, invoices and payments upload on their own
- Newly assigned and reassigned calls appear in the app
- Stock levels across the other trucks refresh
- The customer’s emails go out
The plumber’s side of the product is deliberately small, because a phone screen in a plant room is not the place for a menu tree: Today, Upcoming and Completed, the service call itself, its invoice, van inventory, messages and a performance view. Every screen carries a help icon that opens guidance for that screen, in video or in writing, so a new apprentice trains himself instead of ringing you on a Saturday. Full detail lives on the offline technician app, the plumbing-specific version on the plumbing business app, and what a work order actually holds on work order management.
Create Estimates and Tiered Options
A twelve-year-old water heater weeping at the fitting is not a yes-or-no conversation. Neither is a drain that has now backed up twice in a month. Plumbing estimating software earns its keep when the plumber can put three real prices in front of the customer at the fault, instead of one number they can only accept or refuse.
Water Heater Replacement
Example template · focus tier: Better
Good
$1,200
40 gal tank — standard capacity
Better
$1,400
50 gal tank — larger capacity for families
Best
$3,000
Tankless — endless hot water, energy efficient
An example of a three-tier template built in Opsler, with the notes field carrying the caveats. The tiers, the focus tier and the notes are the product; the prices would be yours.
Templates you build once
Save a template with a name, a category and every line item tagged Good, Better or Best, plus the tier you want highlighted, a discount, a tax rate, your notes and your terms. Build one for water heater replacement, one for drain work, one for a repipe, and the next plumber to sell one is quoting your prices rather than guessing at them in a customer’s hallway.
A price book with your cost in it
Every service you add to the catalog carries a name, a category, a base price and a cost. Group them how a plumbing shop thinks — drains and sewers, water heaters, fixtures and faucets, pipes and repiping, diagnostics. The cost field is the one that makes the margin figures later on mean anything, which is why it is worth filling in properly.
Approval that stands up later
The customer gets a six-digit code by email, valid for five minutes. They enter it, pick their tier, and sign by typing or drawing. Signature and approval land in one step, and the approved estimate converts into a service call or straight into an invoice. Deposits and financing stay with your own bank or finance provider — worth arranging separately if a repipe job depends on either.
Tier mechanics and approval analytics are covered on Good-Better-Best estimates, your own rates and services on price book management, and the trade version on estimating software for plumbers.
Track Truck and Warehouse Parts
Plumbing inventory software has one job: stop the second trip. Opsler tracks stock in named locations of three types — Warehouse, Truck and Van — and truck and van locations are tied to the plumber who drives them. Call them what you call them: Shop, Truck 2 (Dana), Van 3.
| Part | Category | Shop | Truck 2 | Van 3 | Reorder at |
|---|---|---|---|---|---|
| 3/4in brass ball valve | Valves | 48 | 9 | 6 | 10 |
| 1/2in PEX coupling | Fittings | 210 | 35 | 28 | 40 |
| Wax ring, extra thick | Fixtures | 12 | 2 | 0 | 6 · low |
| 3in ABS cleanout plug | Drains | 26 | 4 | 3 | 8 |
| Thermocouple, universal | Pipes | 5 | 1 | 1 | 8 · low |
HTML replica of the Opsler stock view. The categories shown are the six plumbing categories in Opsler’s parts catalog: Pipes, Fittings, Fixtures, Valves, Drains and Other.
Deducted by the job
Parts recorded against a completed service call come off that plumber’s truck automatically and attach to the call at cost.
Transfers, single or bulk
Move stock between any two locations one line at a time, or in a batch when you restock the fleet on a Monday morning.
Two levels of alert
Set a reorder point per part and low stock raises a Warning or a Critical alert, before a plumber finds the shortage in someone’s basement.
Valuation by location
A report of what is sitting where, so you know how much money is parked in the back of the vans.
Parts carry a SKU and a barcode field, so what you already call a fitting is what Opsler calls it, and your supply house relationship carries on exactly as it is. Stock across the whole fleet is a Pro feature; the free Budding plan covers 100 items in one location, which is enough for a single-truck shop to load its entire list this afternoon and start deducting against real calls tomorrow. More on multi-location parts inventory.
Invoice Plumbing Jobs and Connect Accounting
Plumber invoicing software should not need a second data-entry pass in the evening. A completed service call carries its services, its parts and its labour into a draft invoice, numbered from the prefix and starting number you set in Settings, with tax applied per line.
Two routes out
Per call, you choose. Either the plumber sends the invoice from the van, or it lands in an office queue as Pending Approval for someone to check, edit and send. Both routes are real settings, not a plan tier.
Payment as it lands
Record cash, check, ACH, card, Venmo, Cash App or Zelle against the invoice, including partial payments, with the balance tracked. Store your Venmo, Cash App or Zelle handle and QR once and it appears on the invoice.
0% platform fee
Opsler takes no cut of what you collect, because the money never passes through Opsler. It is a record of the payment, not a processor. Your merchant account keeps whatever terms it already had.
Find out which plumbing work actually pays
Every invoice stores its total cost and its gross profit, and the revenue dashboard rolls that up into total revenue, gross field profit, margin and average ticket over any period you pick. That is how you answer the question that changes a plumbing business: did drain and sewer work earn more than water heaters this quarter, and which of the two should you be advertising next quarter. Most shops have never had that number in front of them.
Your bookkeeper gets a clean batch
On Pro, Opsler builds QuickBooks-formatted and Xero-formatted CSV files from your invoices and payments, filtered by date range and status, and your bookkeeper imports them when they are ready. Nothing reaches your ledger until a person decides it should, and there is no connection to re-authorise every few months. Month end becomes a file and a coffee rather than an evening of retyping.
Invoice mechanics are covered on invoicing and approval workflow and plumber invoicing; the bookkeeping hand-off, column by column, on plumbing accounting export and the QuickBooks and Xero CSV export.
Manage Maintenance, Warranties and Service History
The difference between a plumbing shop that chases work and one that has work booked is usually a maintenance list somebody actually keeps. Plumbing maintenance software is the boring half of this page and the half that compounds.
Recurring visits (Pro)
Build a series that repeats daily, weekly, monthly or yearly with an interval, on chosen weekdays or a set day of the month. It ends never, after a number of visits, or on a date. Annual backflow testing, quarterly grease-line jetting for a restaurant account, a water heater flush every twelve months.
Warranties (Pro)
Record parts, labour or full coverage for 30 days, 90 days, 6 months, 1 year or a custom term up to ten years. Status moves to Expiring Soon inside the last 30 days. When a callback comes in, it links back to the original call, and covered lines are forced to zero on the invoice with the original price kept on the record.
History at the address
Every previous visit, with the notes typed on site and the before-and-after photos taken there. A drain that keeps coming back is not re-diagnosed from scratch by whoever happens to be free, and the plumber reads it before knocking.
Built around the property, which is how plumbing works
A customer record carries its service address and, where you need it, a separate billing address — so the landlord pays and the tenant’s property keeps its own history. That is exactly the shape of residential and light-commercial work: the pipe is at an address, the story of that pipe belongs to that address, and any plumber you send arrives already knowing it.
How the record is put together is covered on CRM for plumbers, with coverage terms on warranty management and repeat work on recurring maintenance.
Give Customers a No-Login Portal and Review Follow-Up
Nobody with water on the floor wants to create an account. The plumbing customer portal is a token link emailed against the service call: they tap it and they are in. No password, no download, nothing to reset at nine at night.
Current service call
Status and the scheduled window, so the call about where the plumber is does not need making.
Live tracking
The ETA the plumber set, updated when they update it.
Job history
Every previous visit at that address, with what was done.
Invoices
The list, plus each invoice in full with per-line tax and a PDF to download.
Warranties
Coverage type, start and end dates and days remaining, on Pro.
Message the plumber
A direct thread with the plumber on that call, so the gate code and the dog in the back garden reach the person who actually needs them.
Reviews, without the filtering
The review request goes out with the completion notification — no delay timer, no window to configure. Every customer who rates the job is offered the Google review link whatever they scored. Filtering who gets asked by how they rated you breaks Google’s rating-manipulation policy, so Opsler asks everyone. A score of 1 to 3 stars additionally opens a survey across six categories, so a bad visit tells you which part of it was bad and you can ring them back the same afternoon. All of it goes by email. The customer portal and review collection go into both properly.

What it costs at plumbing scale
The seat floor is where this category quietly gets expensive for a plumbing shop. Buy into a five-user block at two people and you are paying for three plumbers you have not hired. Opsler prices one person at a time, in both directions, so the cost of job management software for plumbers tracks the crew you actually have — and the arithmetic is short enough to check here rather than on a sales call.
| Your shop | Plan | Per month | What that covers |
|---|---|---|---|
| Owner and one plumber | Budding — free | $0 | 50 service calls a month, unlimited customers, 100 parts in 1 location. No card, no clock. |
| Owner, office, 1 plumber | Pro | $75 | 3 seats. Recurring maintenance, warranties, route optimisation, technician time — all included. |
| Owner, office, 3 plumbers | Pro | $125 | 5 seats. Same features. Nothing unlocks at a higher tier because there is no higher tier. |
| Two-truck shop growing to ten | Pro | $250 | 10 seats. Your sixth hire costs $25, not a new plan and not a renegotiation. |
Pre-tax, no seat minimum, no setup fee and no per-job charge. Opsler takes 0% of what you collect, because the money never passes through it — on real card volume that gap is usually larger than the software bill. Full pricing, or a feature-by-feature read of the wider category on the best plumbing software comparison.
Plumber software FAQ
Five things, in this order. Can the office turn a phone call into a booked service call without retyping an address. Can a plumber be reassigned mid-morning and find out without a phone call. Does the app still work in a crawlspace with no bars. Can the plumber quote and invoice on site instead of leaving paperwork for the evening. And does the price hold up at your headcount, which mostly means checking whether the plan has a seat minimum. Feature lists are the least useful thing on a vendor page; those five questions decide whether the software survives a busy Friday.
Service software, and that is the point. Opsler runs the operating side of a plumbing contractor: customers and service addresses, service-call intake, scheduling and dispatch, the field app, flat and tiered estimates, invoices and payments, truck and warehouse parts, warranties and recurring visits — the work that comes in by phone and leaves as a paid invoice. Design, sizing, takeoff and new-construction project management live in a drawing package, and shops that do both simply run the two side by side: the drawing board over there, the service board here.
Yes — that is what the field app is built for. One tap on Sync for Offline before the truck leaves caches today's jobs, the parts catalog, the service catalog, tax settings, their van location, stock levels and customer history. From then on the signal is somebody else's problem: with no bars at all a plumber opens the assigned call, reads what was done here last time, moves it through On My Way, Arrived, In Progress and Completed, records the work and the parts, captures before-and-after photos, takes the signature, raises the invoice and records the payment on the doorstep. The whole lot lands in the office by itself as soon as the truck finds a bar of signal, and money collected out of range is protected on the way home so nobody gets billed a second time. Ask any other vendor to run that exact day in front of you with the phone switched to flight mode.
The Budding plan is free forever and carries 2 seats — 1 admin and 1 technician — with 50 jobs per month, unlimited customers, 100 inventory items and 1 inventory location. Pro is $25 per seat per month with no seat minimum, so a two-person shop pays for two seats rather than a five-user block, and the trial runs 14 days without a card. There is also a one-time lifetime option at $499 for 5 seats, with additional seats at $25 per seat per month. Opsler takes 0% of what you collect because it never handles the money.
By email and a no-login portal link, and it costs you nothing per message. The customer gets the appointment reminder, the on-my-way note, the estimate approval code, the invoice and the review request — all landing at the same address, all attached to the job they belong to, all openable in one tap without an account or a password. Plenty of platforms meter that traffic and bill you by the message; here it is included in the seat you already pay for. And your whole history with a customer stays in one place you can actually search, rather than buried in somebody's phone.
