Move an Urgent Call Into a Clear Job Record

The gap between “there’s water coming through the ceiling” and a plumber pulling up outside is where a small plumbing business either looks professional or doesn’t. Before anyone gets assigned, the call has to become a record someone else could pick up cold.

Log it against a customer — an existing one arrives with the property’s whole service history already attached, so nobody retypes an address or asks a returning customer to repeat themselves. Set the priority: urgent or emergency, high, normal, or low. Urgent and emergency work sorts straight to the top of the unscheduled queue instead of sitting behind a filter change that was booked three days ago.

Address, time window, service type and a description all live on the job from the start, so the record is complete before anyone touches assignment — which is the next problem.

Assign and Reassign the Right Technician

The board shows every technician as their own lane: an availability dot, how many jobs they already have today, and the jobs themselves. A dispatcher makes the call, informed by each lane’s current load and a badge or two showing a technician’s listed skills. Dropping a job onto a lane runs a conflict check against what’s already there: an exact-time clash, an overlapping window, or a day where either job is missing a clear time entirely. By default that’s a warning, not a block — on an emergency day, double-booking is often exactly what a dispatcher means to do, and a tenant can switch the setting to block exact clashes outright if they’d rather it stop them.

Two different things both get called “reassigning.” Moving a job to a different technician on the same day is immediate — drag it to a new lane and it’s done. Moving it to a different day goes through a reschedule: a reason gets recorded, the change joins a dated history on the job, and the job lands in an admin queue until someone resolves it, so a displaced job can’t quietly stop existing on a bad afternoon.

Give Plumbers the Job Details They Need

A dispatch is only as good as what arrives with it. Sending someone to an address and a phone number is how you get a call back from the driveway asking what they’re actually walking into.

The job carries the customer and their full service history — every previous visit with its notes, photos and the parts used — plus the address with a map link, the time window, the service type, the priority, the description, the checklist for that service, and any warranty on the original work. On a callback, that last one settles who’s paying before anyone starts arguing about it.

Keep Field Work Moving With Weak Connectivity

For plumbing, no signal is the normal case, not the edge case — crawl spaces, basements, rural service calls. Before a technician heads out, the app can run Sync for Offline, which pulls down today’s jobs, the parts catalog, the service catalog, tax presets, the van’s current stock, and job history for every customer on that day’s list.

With no signal, a plumber can still open a job, see everything above, work through the checklist, change status — en route, arrived, in progress, completed — attach photos, and build or edit an invoice. All of that queues on the device and syncs automatically the moment a connection comes back, no separate step required.

One honest gap: starting a brand-new estimate while offline doesn’t currently reach the server once you’re back online, even after reconnecting. If a price needs to be built at the door and there’s no signal at all, finish that estimate once you’re back in range rather than trusting it to sync on its own — editing an estimate that already exists on the server is unaffected and syncs normally. Move Completed Work Toward Estimate or Invoice

A dispatch board that ends at “completed” leaves the most expensive part of the process — getting paid — to somebody with a clipboard and an evening.

Whether that invoice goes straight to the customer or queues for office review first is a setting on the job, not a fixed rule — a tenant can let technicians send directly, or require an admin to review, edit and send. What Small Teams Can Skip — and What They May Still Need

Skip, at two to ten plumbers: automated dispatch engines, skills matrices, capacity forecasting and call-centre tooling. A dispatcher who knows the crew outperforms all of it at this size, and the setup cost of the alternative is real.

Plumbing dispatch software questions

A dispatcher decides, and on a plumbing team that is the right answer. There is no automatic dispatch, no AI assignment, no skills matching and no GPS-based routing of work to whoever is closest.
