It covers service-call intake, scheduling, dispatch, the plumber's work in the field, estimates, truck and warehouse parts, invoicing and payment recording, warranties, recurring visits, and the history of what has been done at an address. It is not plumbing design software. Opsler does not size supply or waste lines, produce riser diagrams, calculate fixture units, run material takeoff from a drawing set, check code, or manage a new-construction project with phases, a schedule of values, retainage or lien waivers. Plumbing shops that do new construction run a design or construction package alongside Opsler. This is done, not assumed: - Settings > Terminology renames Work Orders to Service Calls, Team Members to Plumbers, and the dashboard title, across the whole product and the customer emails. - Settings > Service Types is where drain cleaning, water heater service, pipe repair, sewer service and emergency plumbing are added, each with a default price and duration. - Settings > Statuses names and colours the stages. - Settings > Business Hours changes the 09:00-18:00 Monday-to-Saturday default, the 90-minute default call length and the 24-hour reminder. - Settings > Invoice Settings sets the invoice prefix and starting number. Ten job statuses are present from the start: Pending, Scheduled, On My Way, Arrived, In Progress, Paused, On Hold, Rescheduled, Completed, Cancelled. ## Service-call intake and priority Six priority levels: Emergency, Urgent, High, Medium, Normal, Low. On the dispatch board's unscheduled queue, Emergency and Urgent share the top band, then High, then Medium and Normal together, then Low; inside a band the oldest call sorts first. ## Dispatch Unscheduled column plus one time lane per plumber, in Day, Week or Map view. Drag-and-drop assignment or a quick-assign button on the card. Calls are marked Fixed (an anchor, never moved) or Flexible. Status changes made by the plumber appear on the board. Route optimisation is a Pro feature. It reorders only the Flexible calls in one plumber's day, leaves Fixed calls where they are, and reports the distance and time saved before the dispatcher accepts or discards it. Conflict handling, stated precisely: Opsler checks at assignment and grades a clash as exact-time, overlapping-range or same-day. On the default behaviour the assignment proceeds and the technician receives a notification naming the clashing job. There is no conflict warning panel on the dispatcher's screen. Map view is Pro-gated and renders a single map centred on the day's first call. It does not plot a pin per job and it does not show technician positions. ## Offline Opsler installs from a supported browser on desktop, laptop, Android and iPhone. There is no app-store download. Sync for Offline caches seven data sets before the truck leaves: Today's Jobs, Parts Catalog, Service Catalog, Tax Settings, Van Location, Stock Levels, Customer History. Verified offline actions: open an assigned service call with full detail and prior visits; move it through On My Way, Arrived, In Progress, Paused and Completed; record work, labour and parts; capture before-and-after photos; build a flat or Good/Better/Best estimate from the cached catalog; create an invoice and record a payment. Queued actions upload when connectivity returns. Those seven data sets are the boundary — not every screen in the product works offline. The plumber's app is a small role-specific surface: Today, Upcoming, Completed, the service call, its invoice, estimates, van inventory, messages, notifications, performance and ratings, plus a Sync for Offline screen. Every screen has a help icon that opens guidance for that screen in video and written form. ## Estimates Flat itemised estimates, or three tiers — Good, Better, Best — with one marked as the focus tier. Templates are built by the shop and store a name, a category, every line item tagged to a tier, the focus tier, a discount, a sales tax rate, notes and terms and conditions. Approval: a six-digit code is emailed to the customer and is valid for five minutes. The customer enters it, selects a tier and signs by typing or drawing. Signature and approval complete in one call. An approved estimate converts into a service call or an invoice. Opsler does not take deposits and does not arrange financing. ## Parts Three location types are creatable: Warehouse, Truck and Van. Truck and Van locations are assigned to a plumber. Locations are named freely. The parts catalog carries six plumbing categories: Pipes, Fittings, Fixtures, Valves, Drains, Other. Each part has a required SKU, an optional barcode field and an optional reorder point. Stock movements: stock in, stock out, transfer, adjustment and job usage. Parts recorded against a completed call deduct from that plumber's vehicle and attach to the call at cost. Transfers run singly or in bulk between any two locations. Low stock raises a Warning or a Critical alert. A valuation report shows stock value by location. Not present: purchase orders, vendor records, serial or lot tracking, automatic reordering. Budding covers 100 items in 1 location. Stock across multiple locations is a Pro feature. ## Invoicing and payment A completed service call becomes a draft invoice carrying its services, parts and labour, with tax applied per line. Per call, either the plumber sends the invoice from the field or it enters an office queue as Pending Approval for review, editing and sending. The status path is DRAFT to PENDING_APPROVAL to APPROVED to SENT to PAID, or DRAFT to SENT to PAID where approval is off. Payments are recorded, not processed: cash, check, ACH and other bank transfers, card, Venmo, Cash App, Zelle — handles and QR codes are stored once and shown on the invoice — or an external payment link. Partial payments are supported with the balance tracked. Opsler charges 0% platform fee because the money never passes through Opsler. Each invoice stores its total cost and its gross profit. The revenue dashboard reports total revenue, gross field profit, margin and average ticket across a period. There is no per-job margin figure on the individual service call today. ## Accounting Opsler generates QuickBooks-formatted and Xero-formatted CSV files from invoices and payments, on Pro, for manual import. This is an export plus a manual import. It is not a sync, an integration or a live connection, and nothing flows back into Opsler. Known gap: the customer email column exports empty. ## Maintenance, warranties, history Recurring series (Pro) repeat daily, weekly, monthly or yearly with an interval, on chosen weekdays or a set day of the month, ending never, after a number of occurrences, or on a date. Suits annual backflow testing, quarterly drain or grease-line maintenance and annual water heater service. Warranties (Pro) cover parts, labour or the full job for 30 days, 90 days, 6 months, 1 year or a custom term up to ten years. Status becomes Expiring Soon inside the final 30 days. A callback links to the original call, and warranty-covered invoice lines are forced to $0 server-side with the original price retained on the record. Service history holds every previous visit to the address with the notes typed on site and the before-and-after photos taken there. Limitation: a customer record holds one service address plus an optional separate billing address. A property manager with many buildings needs one customer record per property. ## Customer portal and reviews A token link is emailed against the service call. No account, no password, no download. Areas: current service call with status and window, live ETA tracking, job history, invoices list, invoice detail with per-line tax and a PDF, and warranties (Pro). A text chat with the assigned plumber exists; the office cannot currently see or join that thread. Review requests go out with the completion notification, with no delay timer or configurable window. Every customer who rates the job is offered the Google review link whatever they scored — Opsler does not filter by rating, because that breaks Google's rating-manipulation policy. The dispatch map is a single embedded map centred on the first call. It plots no per-job pins and shows no technician locations. - "Overlapping assignments are flagged" / "a job running past its end time flags the next appointment", stated as something the dispatcher sees. The conflict check is server-side at assignment and the resulting notification goes to the technician. - "It reaches the plumber's app immediately, without them refreshing anything" and "the plumber knows about it in about a second." Assignment does broadcast to the tenant, but no latency figure has been measured and none should be quoted. - "Route optimisation ... through the Google Directions API." Do not name the upstream service; describe the behaviour instead. - "Gross profit on every job" and any per-job margin claim. Gross profit is stored on the invoice and rendered only in the period-level revenue dashboard. - "Priority levels are URGENT, HIGH, NORMAL and LOW."
