Plumbing CRM Software for Customers, Properties and Jobs
Search crm for plumbers and half the results are sales pipelines that have never heard of a work order, and the other half are full field-service suites where “CRM” is one word on the homepage. Opsler builds the record around the service address instead: who the customer is, what was done there, what is still covered, and what they owe — open before you have finished saying hello.

What CRM Means for a Plumbing Service Business
Type plumber crm into Google and the results split two ways. One set is Salesforce-shaped: pipelines, deal stages, forecasted close dates, built for a sales team closing new logos. The other is a full field-service platform where customer management is buried three tabs deep behind scheduling, invoicing and route planning. Neither is wrong, exactly — they just were not built to answer the question a plumbing office actually has, which is closer to “what happened at this address, and is it still under warranty?”
That is the gap plumbing crm software is supposed to close: a record that treats the customer and the service address as the center of the business, with every job, estimate, invoice and warranty attached to it directly, rather than living in a separate module you have to cross-reference by hand.
| Generic sales CRM | “CRM” inside a full FSM suite | Opsler’s plumbing CRM | |
|---|---|---|---|
| Built around | A deal and its pipeline stage | Whatever the vendor calls it, inside a bigger suite | The customer and their service address |
| Attached directly | Notes, email threads, deal value | Scheduling and invoicing screens, cross-referenced | Jobs, estimates, invoices, warranties |
| Optimized for | Winning new business | Running the whole operation | The service history at one address |
| Does not include | Any concept of a job or a warranty | A distinct, clearly-labeled customer record | Campaigns, drip sequences, call tracking (by design) |
Want the rest of the operation — dispatch, invoicing, the field app — rather than just the record-keeping half? See the plumbing software overview.
Connect Customers, Service Locations and Jobs
This is plumbing customer management the way Opsler actually stores it, not an aspirational feature list. The table below is the real field set on a customer record.
| Group | Fields |
|---|---|
| Contact | Name (required), phone (required, US-validated), alternate phone, email |
| Service address | Street, unit or apartment, city, state, ZIP (5-digit or 5+4) — required |
| Billing address | Defaults to the service address, or a full separate billing address |
| Other | Free-text notes on the customer record (500-character limit) |
No separate equipment record. Opsler does not have a dedicated asset or equipment object — there is no make, model, serial number or install-date field attached to a piece of plumbing equipment. If a customer’s water heater needs its model and serial tracked, that detail goes in the job notes or a completion photo, the same place as everything else on that visit. It works, but it is text and photos rather than a searchable field, so do not expect to filter customers by water heater brand.
Commercial accounts with several sites: there is no parent-account object sitting above the customer, so a property manager who needs backflow testing across six buildings gets six Opsler customer records, each with the management company entered as the billing address. It takes six minutes to set up instead of one, but the technician arriving at Building C for the annual test sees only Building C’s history — not five other properties’ jobs mixed into one feed.
Keep Complete Plumbing Service History
Overview tab
Contact card with ID, name, phone, alternate phone, email and address; a map where coordinates exist; notes; quick actions to create a job or invoice; and reviews left by this customer.
Jobs tab
Every visit to that address, its status, and what the technician recorded on site — the reason a recurring problem does not get re-diagnosed from scratch each time.
Warranties tab (Pro)
Warranty jobs sorted active, expiring soon, then expired, each with a parts/labor/full badge, days remaining and a shortcut to book the follow-up.
Illustrative example — Jobs tab for one address
- Mar 2024 — Water heater pilot light relight, gas valve inspected, no charge under labor warranty.
- Feb 2025 — Annual water heater flush, sediment noted, recommended replacement within 12 months.
- Jan 2026 — Full water heater replacement, new parts-and-labor warranty opened, before/after photos attached.
Fictional example for illustration — not a live customer record.
Job assignments, completions and customer edits also land in a tenant-wide activity feed with a timestamp and the name of whoever did it, so “did someone already reassign this” has an answer without a call to the technician. Every entry on that timeline is a full work order in its own right — see how one moves from open to invoiced on the work order software page.
Move Leads and Requests into Scheduled Plumbing Jobs
This is plumber lead management scoped to what actually happens between a phone call and a job on the calendar — not a marketing funnel.
From a lead
A lead moves through new, contacted, qualified and converted stages, then becomes a job through the lead conversion flow, carrying its contact details across.
From a booking
Customers who self-book through the online booking widget on your free branded website arrive as jobs ready to schedule.
From an estimate
An approved estimate becomes a job automatically, carrying across only the line items from the option the customer picked.
From the record
Quick actions on the customer page create a job or an invoice without re-entering the address.
See the full stage-by-stage view on the lead management pipeline page.
Connect Estimates, Approvals and Invoices to the Customer Record
Quotes and money keep plumbing customer records complete instead of living in a separate system you have to reconcile by hand.
Estimates
Flat or tiered estimates attach to the customer and convert into a job on approval, so the quote and the work stay one record chain.
Approval evidence
A one-time code sent to the customer's email, then a typed or hand-drawn signature, with the signature type recorded against the estimate.
Invoices
Invoices belong to both the customer and the job that produced them, so 'what did we bill this address in March' is one lookup, not two.
The full quoting workflow — tiered options, the pricebook, what a customer sees when they approve — is covered on the plumbing estimating page.
Track Warranties, Recurring Work and Follow-up Context
Warranties and recurring series are what turn plumbing customer follow up into a scheduled action on someone's calendar instead of a note you hope gets remembered.
Warranties (Pro)
Parts, labor or full coverage, running 30 days, 90 days, 6 months, 1 year or a custom period. Status moves from active to expiring soon to expired automatically, and the queue offers a direct action to book the follow-up job — useful the day a warranty on a water heater install is about to lapse.
Recurring work (Pro)
Backflow testing on a commercial account, drain maintenance or annual water heater service can repeat daily, weekly, monthly or yearly at a set interval, ending never, after a fixed number of visits, or on a chosen date. The whole series is managed as one group rather than as separate one-off jobs.
Both live under warranty tracking and recurring maintenance contracts, both gated to Pro.
Give Customers No-login Access to Job Information
The plumbing customer portal needs no login and no app download — just a token link scoped to one customer.
Current job
Status, scheduled window and the plumber's estimated arrival time.
History
Every past job at that address with what was recorded on site.
Invoices
Line-item detail with PDF download and a Pay Now link where the invoice is still open.
Warranties (Pro)
Coverage type, status, start and end dates and the covered duration.
Each link is sent to the customer's email, scoped to that customer alone, and can be deactivated. Full detail on the customer portal covers every tab and how access is managed.
Know When You Still Need a Marketing CRM
A CRM for plumbing business marketing — campaigns, drip sequences, missed-call text-back, call tracking — is a different job than the one this page describes, and Opsler does not try to do it. Winning the call and running the job are separate problems; the tools that solve them well are separate tools.
Opsler owns
- The operational customer record and job history
- Estimates, approvals, invoices and payment status
- Warranty and recurring-service follow-up context
- Review requests after completed work
A marketing CRM keeps
- Email campaigns and drip sequences
- Missed-call text-back
- Lead scoring and pipeline forecasting
- Paid-ad attribution and call tracking
Data Ownership, Imports, Exports and FAQs
Import
Excel template with name, phone, email, street, city, state, billing address fields, alternate phone and notes. Duplicate phone numbers are skipped automatically and reported row by row.
Export
Customer CSV export covering name, phone, email, address, alternate phone and notes — available on every plan, no support ticket required.
| Field | Bulk import | CSV export |
|---|---|---|
| Name, phone | Yes | Yes |
| Email, alternate phone | Yes | Yes |
| Street, city, state (service + billing) | Yes | Yes, as one formatted address |
| Notes | Yes | Yes |
| ZIP / postal code | No — known template defect, see below | Yes, when present on the record |
The ZIP code row above is a real limitation, not a hedge: the import template's header reads “Postal Code / ZIP Code,” but the field the importer actually reads is named differently, so the postal code is silently left blank on every bulk-imported customer today. Add it by hand after import until it is fixed. Invoice and payment records export separately in QuickBooks and Xero formats for manual import into your accounting software — covered in full on the plumbing accounting export page rather than repeated here.
Plumbing CRM FAQ
Can Opsler replace a marketing automation CRM?
No, and it is not trying to. Marketing automation wins the call — campaigns, drip sequences, ad attribution, missed-call text-back, AI lead scoring. None of that exists in Opsler today, and SMS itself is not live; it is a planned bring-your-own-provider integration, so every automated touch runs through email or the portal for now. What Opsler owns is everything after the phone rings: the customer record, the job, the estimate, the invoice, the warranty. Most plumbing companies that need both run a marketing tool up front and Opsler behind it, and the two never need to share a login.
How does Opsler handle a customer with several service properties?
One customer record per property. There is no separate multi-property object sitting above the customer — a property manager with several buildings gets one Opsler customer per address, with the management company set as the shared billing address on each. It is more records to create up front than a single 'parent account,' but it means the technician pulling up 214 Birch Ct sees only that building's history, not nine buildings merged into one feed.
Can I import my existing plumbing customer list?
Yes, from an Excel template covering name, phone, email, street, city, state, billing address fields, alternate phone and notes, with duplicate phone numbers skipped automatically and reported row by row. One field to watch: the template's ZIP code columns do not currently map through to the imported record (see the note in Data Ownership below), so plan to add postal codes by hand after a bulk import until that is fixed.
Do customers get a login to see their service history?
No login and nothing to install. A customer opens a token link from an email you send and lands on a four-tab view: the current job, full history, invoices, and warranties on Pro. There is no password for them to forget and none for your office to reset, and the link itself can be deactivated if it is ever shared somewhere it shouldn't be.
Can I get my plumbing customer data back out if I switch tools later?
Yes — a CSV export covering name, phone, email, address, alternate phone and notes, available on every plan with no support ticket required. Ask any vendor this question before you spend a weekend re-entering years of service history into them.
