Keep property notes and customer history organized

Where the shut-off is. Which neighbor complains about the blower before eight. That the back gate is padlocked and the code changed in April. Most of that knowledge lives in whoever ran the last job, and the customer record is where it goes instead: contact details, a service address, an optional separate billing address, notes, and every job ever done there with its own photos.

That earns its keep on the day a different crew turns up. A one-truck operation can carry the property in someone’s head; a business with two or three crews cannot, and the fix is writing it down somewhere the person standing at the gate can actually read.

One limit worth knowing: a customer record holds one service address, so several properties under one owner work best as a record per property sharing the same billing contact — three clean histories rather than one merged timeline, which is what you want when the crew is standing at the rental rather than the house. There is no site-plan or drawing attachment here either; notes and photos are the record, not a design document.

Create estimates with labor and material detail

Landscaping estimates go wrong in a specific way: the labor is guessed from memory, the materials are guessed from the last similar job, and neither number gets compared with what actually happened. The fix is putting both in a catalog once and building every estimate from it. A service carries a customer-facing price, an internal cost, a duration and an optional default checklist that travels with it onto the job. A material carries a SKU, a cost price, a retail price and a stock level per location. Both sit on the same estimate with their own tax rate.

For bigger work, Good/Better/Best earns its place in landscaping more than in most trades, because the honest answer to “what do you recommend” is usually three answers at three prices. Schedule crews across project and service work

The awkward part of a landscaping schedule is that it is two schedules wearing one calendar: the install that ties up a crew for three days, and the maintenance visits that still have to happen around it.

A job carries a single scheduled date, a time window and a duration — not a date range. A three-day build is booked as three linked jobs, one per day, each carrying its own crew. Teams scope who sees what once more than one crew is running.

Give field teams job details and evidence tools

The crew opens their own day, not everyone’s, with the address, the time window, the property notes and the checklist for that service. Opsler installs from a supported browser, so there is nothing to download from an app store and nothing separate to update.

Coming back the other way: before-and-after photos, per-item checklist ticks each timestamped with who did them, completion notes, materials consumed, and on Pro a work timer that tracks pauses separately from working time. What actually stops a job from closing is a missing before photo; at least one is required before completion, so evidence is the default rather than something a crew leader remembers on a good day.

Before the crew loses signal, the phone downloads today’s jobs, the parts and service catalogs, tax settings, the van’s own location and stock levels, and the customer history for every job on the list. Offline, a technician can change job status, tick checklists, take photos, write completion notes, edit and complete a draft invoice — all of it queues and syncs on reconnect.

One documented gap: an estimate started while offline does not reach the server, reconnect or not. Draft new estimates where there is signal, or edit one that already has a server ID — that syncs correctly. Back gardens, new-build sites and rural properties are the normal case in this trade, not the edge case, which is exactly why that one gap is worth knowing before it costs you a quote.

Manage materials and job records

Mulch, pavers, plants, irrigation fittings — landscaping eats material in a way service trades mostly don’t, and the stock sits in three kinds of place: warehouse, truck and van. Each material carries a SKU, a cost price and a retail price, and when a job’s invoice is finalized, whatever was consumed comes off that location’s stock automatically. A completed job’s line items carry straight into an invoice — no re-entering the estimate by hand. Whether it needs a second set of eyes depends on who created the job: a job created by a technician in the field defaults to requiring office approval before it goes out; a job created by the office doesn’t. Either default can be switched per job, not just set once for the whole account, so an owner who trusts one crew lead and not another can treat them differently.

When approval is on, the invoice sits in a queue where an admin can review, edit and send it — the step that catches the missing extra bag of mulch or the line that got left at $0. Sent invoices go out as a PDF and sit in the customer’s own portal, no login required.
