Set up recurring property visits
This is the section that decides whether lawn care scheduling software saves you a day a month or just moves the same typing somewhere else. A recurring series in Opsler is a Pro feature: it has a frequency — daily, weekly, monthly or yearly — plus an interval, so every-other-week is simply a weekly series with an interval of two. Weekly series pick their days; monthly series pick a day of the month, or the last day of it. An end condition closes the loop: never, after a set number of visits, or on a date. A series is named once and managed on its own screen, so pausing a customer for a month or moving them from fortnightly to weekly is one change, not a run of edits across a calendar. Handle rain delays and schedule changes
Weather is the defining operational problem of lawn care, so it deserves a straight answer rather than a feature bullet. Rescheduling in Opsler is a manual action, and a route-first platform built for this trade will automate more of it. Here is exactly what each side does.
What Opsler does. Each affected visit is rescheduled and the reschedule history is kept, so you can see what moved and when. Assign crews with the right property context
Assigning a visit means picking one or more crew members for it, with teams scoping who can see whose day — a two-truck operation is not showing everyone’s schedule to everyone. What actually prevents a callback is the property record underneath the assignment: the gate code, the dog, the strip the customer mows themselves, the neighbour who complains about the blower before eight. That lives on the customer record with the full visit history attached, readable by whoever turns up — not locked in one person’s head or a phone that quit on them.
Be clear about what this is not: there is no skills-based matching and no GPS-proximity assignment. A person picks a name from a list; nothing scores the fit automatically. For a two- or three-truck lawn crew that is rarely a real gap — the dispatcher already knows who is best for the corner-lot customer with the ornamental beds. Document work in the field—even with weak signal
The real test of lawn care software is not what the office sees on a screen. It is whether a crew member with wet hands and a cracked phone can close a visit in the yard without calling anyone. Today’s jobs, the property history and the parts and service catalogs download to the phone before the crew leaves, so none of that depends on a signal at the property. A visit cannot be closed without at least one before photo, an after photo, a signature and completion notes — all four are enforced, not optional, so a dispute about one strip of grass gets settled by a photo instead of an argument.
Being precise about what actually syncs: job status changes, checklist completions, photos, and the invoice and payment side of a completed visit all queue on the phone and sync automatically once it reconnects — tested, working paths. Creating a brand-new estimate while offline is the one exception. Save it and finish it once you are back online, because a draft estimate started with no signal does not reliably reach the server yet. Quote one-time and recurring lawn services
Most lawn revenue is the recurring visit itself, but the margin often sits in the extras — an aeration, a mulch top-up, a hedge that got away over August. Those are quoted from your own price-book catalog, so the number a crew member gives at the gate is the number you set, not a guess, and larger jobs can be presented in Good-Better-Best tiers. Registration starts you from a business-type preset with 20-plus price-book items already in it — a starting point to edit, not a finished lawn-care catalog, since there is no lawn-care-specific preset among Opsler’s eleven. The customer opens a link, verifies a one-time code emailed to them, and signs on screen — no separate account or app download on their side.
Three things this section is deliberately not: a contract-management system, an optional-services subscription manager, or recurring billing. Every visit — one-time or part of a series — is quoted and invoiced on its own terms; there is no standing agreement or autopay running underneath it. Invoice completed visits and manage materials
A completed visit carries its line items straight into a draft invoice. Technician-completed visits default to needing an admin’s review before anything is sent — the setting can be changed per job — which is what catches the $0 invoice and the missing extra before a customer ever sees it. Once approved, invoices go out as a PDF and stay visible in the customer’s no-login portal alongside their visit history. An overdue invoice gets reminders, and a partial payment is followed up in stages — a friendly nudge first, then a firmer one — rather than chased once and forgotten or left to sit.
Fertiliser, seed, mulch and other consumables track as inventory across warehouse, truck and van locations, deducted automatically when they are used on a visit, with low-stock alerts at two severities — a warning before you are out, and a flag once you are. To be exact about the boundary: that is stock control, not a regulated chemical-application record. If your jurisdiction requires product, rate, target and applicator logged to a compliance standard, that is a different requirement and this does not meet it.
What this will not do: take a card payment, charge a stored card on a schedule, run payroll, or push anything into QuickBooks or Xero automatically. When a crew marks a visit en route the customer gets an on-my-way email with a tracking link, and they can open their own no-login portal any time for visit history and invoices. Every notification stays tied to the job record, and there is no per-message cost or messaging plan to buy. SMS is planned as bring-your-own-provider, so you would keep your own carrier rate when it lands — it is not live today.
Partially, and the limit matters here more than in most trades. On Pro, a dispatcher can re-sequence one crew member's flexible visits for a day by real travel time, keeping any booked slots anchored, with the miles and minutes saved shown before committing. What it does not do is plan a whole crew's week, balance properties between trucks, or build density-based routes the way a route-first lawn platform does.
