The usual failure of an HVAC scheduling app is not the schedule. Six status taps carry the visit: En Route, Arrived, Start, Pause, Resume, Complete. Each one opens or closes a timed interval on the job, so the record afterwards shows work time and pause time separately rather than one lump figure. Building and filling the board itself — lanes, drag-and-drop, who takes the emergency no-heat call at 4pm — belongs to HVAC dispatch and scheduling.

Keep Working Offline and Sync Later

A rooftop unit behind a steel door, a furnace in a block basement, a plant room two floors down. Every offline HVAC app says “works offline” and every one of them means something narrower than the phrase suggests. So here is the list rather than the phrase. Ask each vendor on your shortlist for the same thing; the ones who cannot produce it are telling you something.

Before the signal goes: Sync for Offline

What the queue does

Each offline action is written to the device and added to a queue. On reconnection the queue drains in dependency order for each job — photos first, then ETA and checklist, then the status taps, then the draft invoice, then payment, then completion — so a job is never marked complete before the invoice data behind it has landed. Duplicate taps on the same action collapse to the most recent one before anything is sent.

What happens when it fails

A failed item retries with a widening gap between attempts, up to ten attempts. After that it moves to a dead-letter list with the error attached and raises an amber badge, rather than disappearing quietly. A payment recorded offline carries a key that lets the server recognise a retry, so a second sync attempt cannot charge the customer twice.

Come back into coverage and the app shows a “Connection restored” banner and starts sending; while connected it also sweeps the queue every 30 seconds, so an item that failed once is retried without anyone remembering to press anything. Create Quotes, Capture Photos and Record Time

A technician standing at a failed compressor is the cheapest salesperson your business will ever have, and the moment passes fast. Three things have to be possible before they leave the driveway.

Quote at the equipment

From the job screen, the technician raises either a flat estimate or a three-tier Good-Better-Best proposal, priced from the catalog rather than from memory. Be aware of the boundary: mobile HVAC quoting needs a connection to submit. Without one the form keeps its draft on the device and restores it when they come back to it.

Photograph the evidence

Before and after photos are captured separately and attached to the job. With no signal each image is compressed and held on the device with a “Saved offline” marker on the thumbnail, and it survives the app being closed and reopened.

Record the hours (Pro)

Start and Pause open and close timed intervals, so the finished job shows work time and pause time as two separate figures with the technician's name on each segment. Job timers are a Pro feature and are not available on Budding.

Use Parts and Customer History on the Job

Two questions decide whether a visit is a fix or a return trip: is the part on the van, and what did we do here last time. An HVAC service app that cannot answer both at the door is a job viewer with extra steps.

Parts, on the job screen

A Parts Lookup panel searches the catalog by name or SKU and shows the count held at the technician’s own assigned van. Adding a part to the job puts it on the draft invoice with its price and its cost, so what came off the van and what gets billed are the same entry, not two.

History, on the same screen

A customer history card lists that customer’s previous jobs directly under the customer block. Both the parts catalog with its stock counts and the history are cached by Sync for Offline, so both survive a basement.

Cached stock is a snapshot, not a live count — it is accurate as of the last sync, and another technician pulling the same capacitor in the meantime will not be reflected until you reconnect. Stock across warehouse, truck and van locations is covered on multi-location inventory, and the customer, property and equipment record on HVAC CRM.

Finish the Job with Invoices and Customer Access

The last ten minutes on site are where an HVAC invoicing app earns its keep or creates an evening of admin. In Opsler the technician works down one screen: photos, then the invoice preview, then the signature, then payment.

On Android

The browser offers to install it. Accepting adds a launcher icon that opens full-screen with no address bar, and it holds a shortcut straight to Today’s Jobs.

On desktop or laptop

The office installs the same way from a supported browser and gets a window that opens to the dashboard rather than the technician view. One product, two starting points.

Updates arrive the next time the app is opened. There is no store review between a fix and the field, and no version drift across a crew who install on different weeks. An app a technician opens fifteen times a day has to stay narrow. Here is what Opsler deliberately is not, so nobody discovers it in week three.

Do I download the HVAC app from the App Store or Google Play?

No. There is no Opsler listing in either store. The technician opens the link in their phone's browser, signs in with their invite and installs it from there. That cuts both ways, and it is worth knowing which side you are on: you skip store accounts, device enrolment and the wait for review before a fix reaches the vans, but you also lose the store search result and the one-tap install your crew is used to. If your technicians expect to find an app by searching a store, tell them the link is coming instead.

Do technicians need company phones, or can they install it on their own?

Any supported browser on a phone, tablet, laptop or desktop will do, so a technician can install it on the phone in their pocket. There is nothing to enrol and no device management to configure. One practical catch on iPhone: push notifications only reach the device once the app has been added to the Home Screen, so a technician who skips the install step will not be alerted to a new assignment.

What happens if a technician forgets to run Sync for Offline?

They will probably still be able to work, but do not rely on it. The app caches quietly in the background after it opens — the van location, tax settings and payment settings within about five seconds, the parts and service catalogs within about twelve — and today's job list is held from the last time it loaded. Running Sync for Offline is the difference between probably and certainly, because it fetches all seven data sets in one pass and stamps the screen with the time it finished. Before a run of basement furnaces, it takes about as long as writing the address down.
