What fire protection software needs to organize

Type fire inspector software and you get the technician half of the same thing: the tablet in the riser room. Type fire service software and you land on field-service tools that dispatch and bill but know nothing about NFPA. All three get sold as fire protection software.

Work out which half is actually costing you money before you sit through another demo. A contractor whose reports are already accepted and whose real leak is unquoted remedial work needs the second product. A contractor being handed back deficient paperwork needs the first, and no amount of tidy scheduling will fix it.

Keep customers, sites and service history connected

Ask what records fire protection software should keep and you get two answers. Specialist platforms answer with the asset: this panel, that riser, these forty-two extinguishers, each carrying its own history of findings. A client record holds name, phone, email, one service address, an optional separate billing address, free-text notes, a running job count and a count of live warranties. Plan recurring inspection and maintenance visits

The commercial risk in this trade is a periodic visit that quietly does not happen. A recurring series is a named object you create once: give it a client, a frequency, an interval and an end condition, and attach a job template carrying the service, the inspector, the estimated duration and the checklist. Every generated visit inherits all of it.

Frequency is daily, weekly, monthly or yearly with an interval from 1 to 365, so most fire intervals express cleanly. Monthly series can target a specific day of the month or the last day of it. Series end never, after a set number of occurrences, or on a date. Recurring series are a Pro feature; on Budding the toggle opens an upgrade prompt instead.

Because the series is one object, moving a site from quarterly to semi-annual is a single edit rather than a diary rebuild. Here is the boundary: the series runs on a calendar rule, not on a device’s own inspection interval, and nothing in Opsler knows what interval a code requires for what equipment. It generates the visit. Deciding the visit was due remains your job, or your inspection platform’s.

Dispatch technicians with the right job context

Assign an inspection and the assignment is pushed to that inspector’s phone and emailed to them, carrying the site address, the time window, the client’s full history and the checklist for that service. They set their own availability to Available or Offline, and the office sees it.

The fire preset ships ten job statuses rather than a generic three, so the board reflects a real day: Pending, Scheduled, On My Way, Arrived, In Progress, Paused, On Hold, Rescheduled, Completed, Cancelled. Each has its own colour and its own permitted next steps, which is what stops a job jumping from Pending to Completed with nothing recorded in between.

Assigning over an existing commitment raises a warning rather than silently accepting it. Three cases are detected: an exact time match, two windows that overlap, and a same-day booking where one of the two jobs has no times set. Be clear about what that is not — there is no drive-time calculation, no distance check, no route optimization and no skills matching. Anything sold as fire inspector software that promises to sequence a day by travel time is doing something Opsler does not do.

Capture inspection notes, photos and forms in the field

Attach a default checklist to a service in your catalog and every job created from that service copies it. On the phone each item is a tap; the tick records the inspector’s name and the time it happened, and those stay on the job record afterwards. Items you flagged as required show a red asterisk. That asterisk is a prompt and nothing more — it does not lock the job.

What gates completion is evidence: at least one before photo, at least one after photo, and a signature. Miss any of the three and the job will not close.

Be precise about the word, because plenty of fire inspection software in these results means something stricter by it. An Opsler checklist is a list you wrote, attached to a service. It is not derived from a code, it does not version itself when a code edition changes, and completing it asserts nothing about compliance.

Turn deficiencies into estimates and follow-up work

This is where a fire-protection business leaks money. An inspector finds three things that need attention, writes them on a sheet, hands it in, and the quote goes out ten days later if it goes out at all.

In Opsler the finding is photographed and written into the job, then priced on site from your own catalog. The limitation carries through: the finding sits on the visit, not on a device, so there is no per-asset deficiency list and no report of everything outstanding across a site.

Manage parts, warranties and service evidence

Stock lives at three kinds of location: warehouse, truck and van. A truck or van can be assigned to a named inspector, which is what makes the offline stock download meaningful — the phone caches that person’s van, not the whole company’s inventory. Parts consumed on a job come off the recorded location when the invoice is finalised, logged as job usage with a quantity and a name against it. Warranty records are Pro and cover parts, labor or both, with a start and an end date. A callback job links back to the original, so the second visit reads as a return rather than as new work. Expiry alerts fire at 30, 14, 7, 3 and 1 days out, and they are worth describing exactly: they arrive as a push notification to your own admin users. Nothing is sent to the client, and nothing goes out by email.

Evidence is the part most fire service software undersells. Every completed inspection keeps its before and after photos, its completion notes, its signature and its timestamped checklist, and a client can open all of it through a token link with no account and no download: current job status, past visits, invoices, warranties and their inspector’s contact details. Where specialist fire-compliance software is still required

  6. Does it submit electronically to your jurisdiction, where that route exists?
  7. Does it retain records for the period your jurisdiction requires, and prove the retention?
  8. Does it track inspector certifications and flag one that is about to lapse?
  9. Who at the vendor puts their name to those answers for your jurisdiction and your code edition?

Fire protection software questions

No. There are no code-based inspection forms, no NFPA 25 or NFPA 72 report templates, no inspection certificates and nothing that submits to an authority having jurisdiction.
