What Appliance Repair Software Should Manage
Appliance repair software runs the commercial side of a repair business: who called, what broke, which technician goes, what the visit found, what it costs, what came off the van and whether anyone still owes you money. Search results use the phrase loosely, so it is worth being blunt about the split. Opsler is appliance repair business software. It is not a technical library.

Vendors sell the first column under several names. Appliance service software, appliance repair business software and repair CRM all describe roughly the same territory, and the differences that actually matter are narrower than the category pages suggest: whether the technician can work without a signal, whether parts leave stock on their own, whether a callback can be proved, and what the thing costs when you have two people rather than twenty.
This page is written for the owner or dispatcher of a small residential or light-commercial repair shop. If you run a manufacturer warranty network with claim adjudication and supplier recovery, or you track thousands of individual units by serial number, read the model-and-serial limits below before you spend time on a trial — the fit is genuinely poor and we would rather say so here.

A dead freezer in July and a dishwasher that hums are the same workflow with different urgency. Here is the path a service call takes, with nothing in it that has to be retyped by the office.

Either your office takes it into a customer record, or the customer books themselves through the branded site every account gets, which lands as a pending booking with what broke and when they are free. A QR code for that site prints onto a van magnet or a leave-behind card.

The job carries a service type, priority, an estimated duration and, if you want one, a checklist the technician has to work through. Assignment is a decision you make, not one the software makes for you.

The technician sets off
Marking on my way emails the customer a link to a portal page for that job — no login, no download — showing status and the technician's name and number. Nothing goes out by text message; Opsler does not send SMS.

The diagnosis happens
Symptoms, findings and the model and serial off the data plate go into the job's notes, backed by photos. At least one before photo is required before anyone can mark the job complete, which is the rule that saves you six months later.

Repair or replace is the conversation in this trade and it goes better with a screen than with arithmetic on a business card. Price it from your own book, show one figure or three tiers, and take the answer there and then.
Step four is where an appliance repair app earns its place. The technician is usually kneeling behind a machine in a utility room, and every second of retyping is a second not spent diagnosing.
Customer, Property and Appliance Service History
The reason repeat work is profitable is that you already know the house. Which is what people are reaching for when they ask for a repair CRM: not a sales pipeline, but the answer to “have we been here before, and what did we find?” available before the van pulls up.
In Opsler the customer record holds the address, the contacts and every job ever booked against it, each with its notes, its before and after photos, its checklist with the time each item was ticked and the person who ticked it, its parts and its invoice. A technician opens the customer on the phone and reads the last three visits without asking the office. When you are moving off spreadsheets, customers come in from an Excel template rather than one at a time, and a phone number that already exists is skipped instead of duplicated.
History attaches to the customer and the service address. It does not attach to the appliance. That distinction is the single most important thing on this page for an appliance business, and the section on recording model and serial numbers is about nothing else.

Schedule and Dispatch the Right Technician
Appliance repair business software should manage six things around the calendar: who is available, what each job needs, how long it realistically takes, what happens when a job overruns, what the customer is told, and how a part-shortage becomes a second appointment rather than a lost job. Opsler covers those. It does not decide your day for you.
Dispatch is manual and deliberately so. You assign the job to a technician; nothing auto-assigns on skills or proximity, and no page in Opsler claims a dispatch engine. Jobs carry a priority and an estimated duration, technicians carry availability, and the schedule shows you the clashes. When a repair runs long the technician pauses or reschedules from the phone and the office sees it happen.
Route sequencing is a separate, smaller thing and worth naming precisely. On Pro, Opsler can reorder a set of stops by driving time and hand the result to maps for navigation. That is stop ordering, not route optimization in the sense larger platforms use it: there is no allowance for appointment windows, technician skills, part availability or traffic that changes at eleven in the morning, and it will not re-plan your day when a call comes in. If routing efficiency across a dozen vans is the problem you are solving, this is not the tool that solves it.
Recurring work — quarterly vent cleans, annual maintenance rounds — is generated on a repeating schedule on Pro, so the jobs appear without anyone remembering to create them.
Record Model, Serial, Symptoms, Notes and Photos
Opsler has no appliance record. There is no asset entity — no serial-numbered register of a particular washer with its model, its install date, its position in the property and its own manufacturer warranty. A serial number is not a field anywhere in the product, so you cannot search one, filter by one or report on one.
What you do instead: model and serial go onto the job, in the description and the notes, with a photo of the data plate attached. In practice most technicians photograph the plate anyway, because a plate behind a drum in a dark utility room is far easier to shoot than to transcribe. Symptoms, findings and what was actually done go into the job notes and the completion notes. Photos are captured as before and after, at least one before photo is required to complete the job, and all of it stays readable on the phone with no signal.
What that costs you, stated plainly. You cannot pull a report of every Whirlpool front-loader you have touched. A landlord with fifteen identical units in fifteen apartments needs the unit written into the job title to tell one visit from another. If the unit rather than the customer is the thing your business tracks — commercial laundries, property portfolios, rental fleets — this is the wrong product and no amount of workflow discipline fixes it.
What it does not cost you is history. For a household with one washer, one dryer and a fridge, the customer record and its past jobs are exactly what a technician reaches for, and per-unit tracking would be filing for its own sake. Most residential shops land on this side of the line — but check which side you are on before you commit.
Estimate Labor and Parts from the Field
An estimate is built from reusable items — services with a price and a cost behind them, plus parts pulled from your catalog — so the technician assembles a number rather than inventing one. You can present a single figure, or three tiers where the customer sees a basic repair, a fuller one and a fuller one again with a longer warranty. Tiers stack: the middle option includes what is in the first, and the top option includes both. Check the totals your templates produce before you send the first one, because a tier price is not the price of that tier on its own.
Approved estimates convert into scheduled work rather than being retyped, and the approval carries a signature and a record of which line items the customer agreed to.
Where your prices come from
There is an appliance-repair price book written into Opsler — thirteen priced services running from an $85 diagnostic visit through a $250 washing machine repair to a $450 major refrigerator job, each carrying a cost as well as a price, alongside estimate templates for refrigeration, laundry, kitchen and annual maintenance work.
It is not reachable from the signup form. The business-type list offers seven trades, appliance repair is not among them, and the choice is fixed once the account exists. A shop registering today starts on General Service and enters its own services and prices, which most owners end up preferring anyway — the number that matters is what your market pays, not what a template guesses. What works in a basement with no bars
This trade works below ground more than most, so the offline scope deserves a matrix rather than a reassuring adjective. Track Parts Across Van and Stock Locations
Appliance work has a parts problem shaped differently from other trades. A large share of first visits are diagnosis, the fix waits on something ordered, and margin leaks in the gap. Two things matter more here than elsewhere: knowing what is genuinely on the van before you promise a same-visit repair, and having the part land against the right job when it finally goes in.
Stock is counted per part per location across warehouse, truck and van locations, with as many named locations of each as you run. When a job is completed the parts used come out of stock on their own, recorded with the quantity, the location they left and the person who used them, so the cost lands on that job rather than in a monthly guess. The technician’s app defaults to the van assigned to them, which means nobody picks a location from a dropdown while holding a compressor.
Low stock raises two levels: a warning once a part drops under the threshold you set for it, and a critical alert at zero. Both tell you. Neither orders anything — Opsler does not place supplier orders, and there is no manufacturer catalog with model compatibility behind your parts list. Your catalog holds what you put in it, imported from a spreadsheet if you have one, with a SKU, category, manufacturer, cost, retail price, unit and a barcode field. That field is text you type or paste; there is no scanner in the product, and any vendor comparison that credits Opsler with barcode scanning is wrong.

Handle Return Visits and Warranty Callbacks
A second visit is either the job you always knew was coming or the one you did not want. Both need the first visit attached to them.
The part had to be ordered
Visit one closes with the diagnosis, the plate photo and the part identified. Visit two is booked against the same customer, so both sit in one history and the part comes off stock at cost when it goes in. Ordering is between you and your supplier.
It broke again
If you granted cover on the original job, the callback links to it as a warranty claim. The two jobs read as one story instead of two unrelated visits six weeks apart.
Warranty records cover parts, labor or both, for a term you set — 30 days, 90 days, six months and a year are one click each, and a custom term runs to ten years. On a callback invoice you mark the covered lines: the customer sees $0 with the original price struck through, which reads as a favour granted rather than a line quietly removed. Parts still leave stock at cost and that cost still lands on the job, so the profitability figure stays honest rather than flattering.
Expiring cover raises a notification inside your own account at 30, 14, 7, 3 and 1 days before the end date. Be clear about who that reaches: it goes to your admin users as a browser notification, not to the customer, and there is no emailed version. Nobody outside your team is told their warranty is running out.
If a callback turns into an argument, what you are holding is the original job’s before and after photos, its checklist with the time each item was completed, the completion notes, the customer’s signature and the line items they approved. That is service-warranty record keeping. It is not claims administration — no manufacturer registration, no adjudication, no reserves and no supplier recovery.

Two of those four, properly. Parts and warranty callbacks are first-class records: stock moves off the van against the job, and a callback links to the job that granted the cover. Models and serial numbers are not. They live as text on the job and as a photo of the data plate, so a technician can read them, but you cannot search, filter or report on a serial number anywhere in Opsler. If per-unit tracking is the thing you are buying, take that seriously before you trial.
No, and no version of it is planned as part of this product. There is no manufacturer fault database, no error-code lookup, no wiring diagrams, no exploded parts diagrams and no service bulletins. That material comes from the manufacturer or a technical subscription and you keep whatever you already use. Opsler runs the business around the repair. If a vendor tells you they bundle OEM diagnostics, ask which manufacturers, which model years, and under what licence.
You close the first visit with the diagnosis, the photos and the part identified, and book the second visit against the same customer so both sit in one history. Ordering happens with your supplier — Opsler does not place orders and holds no manufacturer catalog. When the part arrives it comes off van or warehouse stock on the return visit, at cost, against that job.
