Quotes can carry a single price or three tiers, good, better and best, on the same document, so the conversation on the doorstep becomes a choice rather than a yes-or-no. Invoices are raised from completed work with the materials and time already recorded against the job.
Where the approval actually happens
The customer approves in their own browser, not on the technician’s phone. They get a link, enter a one-time code sent to their email, pick a tier if you offered several, and sign — typed or drawn — on one hosted page. That means it needs a connection at their end, and it is not a signature captured offline at the kitchen table. If signing on the spot with no reception is central to how you sell, verify that specifically with every vendor you shortlist. It is the most commonly assumed capability in this category.
Use token-based customer access without an app download
Your customers never install anything. They get a link tied to their job, open it in whatever browser is on their phone, and see what they need to see. No account to create, no password to forget, no app to download for a tradesperson they will use twice.
This matters more than it sounds. Every extra step between a customer and a decision costs you conversions, and “create an account to approve your quote” is a large step for a homeowner who just wants the hot water fixed. A link that opens straight to the thing is the difference between an approval tonight and an approval on Thursday.
Be clear about what this is, though: it is scoped access to a specific job, not a full customer account with a login and a history dashboard. That is a deliberate trade of depth for friction, and it suits residential work better than it suits a commercial client who wants a portal across forty sites.
What works offline—and what does not

A technician can create estimates and invoices offline. They are held on the device and sync automatically once connectivity returns. No copying up later, no lost paperwork in the ute.
Assume it needs a connection
Everything else. We deliberately do not claim full offline operation of every screen, because “works offline” means different things to every vendor in this category and the difference only shows up on a bad day.

Then turn the signal back on and check that all three arrived intact. Who sees what

What happens when a phone is lost
Because access is tied to the person rather than the device, removing that person’s access removes it everywhere, including from the installed icon on the missing phone. There is nothing to wipe remotely because there is no app-store install to revoke. Ask every vendor this question specifically — the answer varies a lot, and it is the one you need on the day it happens rather than during the demo.
What your customers can reach
A customer link is scoped to their own job. It is not a door into your customer list, your pricing or anyone else’s work.
One more worth raising while you are thinking about this.
