HVAC software for UK service and maintenance teams
Call it HVAC field service management software, software for HVAC, HVAC management software, HVAC scheduling software or HVAC service management software — Opsler organises the customer, the job, the quote and the invoice for a UK heating and air-conditioning business’s day-to-day work. It does not produce F-gas logs or Gas Safe certificates, and it does not track equipment as an asset register.
Opsler makes no F-gas or Gas Safe compliance claim.
Individuals working on F-gas equipment must hold their own accredited qualification regardless of employer (GOV.UK), and gas work sits with Gas Safe registration. Neither is produced or checked by field-service software. Everything below is the administrative side of the business.
Separate heating, ventilation and air-conditioning workflows
Whether your team covers boiler and heating work, ventilation, air conditioning or a mix of all three, every job sits on the same customer record and schedule — different job types on one board, not separate systems for each discipline.
Keep customers, sites and equipment context together
Job notes and descriptions carry the equipment detail an engineer needs — make, model, location on site — alongside the customer’s address and history. This is deliberately a free-text job record, not a dedicated equipment or asset register with its own maintenance schedule; if you need that level of asset tracking, it isn’t part of the product today.
Handle reactive call-outs and fault visits
A no-heat call in winter and a scheduled service visit are different urgency levels, and the dispatch board treats them as such — reactive call-outs go straight to the next available engineer, while planned work holds its place on the schedule.
Plan recurring service and maintenance work
A recurring series runs on a fixed interval you define — quarterly, twice yearly, whatever the equipment needs — and Opsler generates the next visit automatically up to 30 days ahead on the Pro plan. The interval stays fixed at the cadence you set, rather than recalculating from how the previous visit actually went.
Schedule and assign HVAC engineers
A drag-and-drop board assigns each job to an engineer for a fixed time or a flexible slot, so the office can see coverage across a multi-engineer team without a phone call.
Create quotes and give the field team a job record
A quote builds from your own price book — single price or three tiers for a bigger installation — and the customer approves it with a one-time code by email plus a signature, on one page in their own browser. The job card then carries the address, notes and history out to whoever picks up the work.
Capture work evidence and create invoices
Before-and-after photos, job notes, time and materials log against the job as the work happens, and the invoice generates from that same completed record — no re-typing line items into a second system.
F-gas, Gas Safe, certificates, VAT and accounting boundaries
To be direct: Opsler does not produce F-gas logs, leak-check records, Gas Safe certificates or commissioning sheets, and does not check compliance against either framework — that stays with the engineer’s own accredited qualification. Opsler also doesn’t calculate VAT or file for Making Tax Digital; there is no live Xero or QuickBooks sync, only a formatted CSV export for manual import. Pricing stays in US dollars, not GBP.
HVAC software evaluation checklist
Six things Opsler does, and three it deliberately doesn’t. Take the same nine questions to any HVAC field service management software you’re evaluating.

| Reactive call-outs and planned maintenance on one board | Yes | Drag-and-drop scheduling, same board for both |
| Recurring service visits on a fixed interval | Yes | Auto-generated up to 30 days ahead, Pro plan |
| Quotes approved on site from your own price book | Yes | Single-price or three tiers, one-time code and signature |
| Photos, time and materials against the job | Yes | Free-text equipment notes, not a dedicated asset register |
| Invoicing from the completed job | Yes | Line items carry across; no re-typing |
| F-gas logs or Gas Safe certificates | No | Not a certification tool — stays with your own registration |

HVAC software questions
At its core, software that holds the customer record, the job schedule, the quote and the invoice for a heating, ventilation or air-conditioning business — reactive call-outs alongside planned maintenance visits, both on one board. It is a separate question from F-gas qualification or Gas Safe registration, which sit with the engineer's own accredited status (City & Guilds, BESA, LCL Awards or equivalent), not with field-service software.
A fault call-out and a scheduled service visit are different kinds of job and should be treated as such. In Opsler, reactive call-outs go straight onto the dispatch board for the next available engineer, while planned maintenance runs on a recurring series with a fixed interval you set — generated automatically up to 30 days ahead on the Pro plan. Both sit on the same board rather than two separate systems.
No, and it's worth being direct about it. Individuals working on equipment containing F-gas must hold their own qualification from an accredited body regardless of employer, per GOV.UK guidance, and gas work sits with Gas Safe registration. Opsler doesn't produce F-gas logs, leak-check records or Gas Safe certificates, and doesn't check compliance against either framework — that stays entirely with the engineer's own accredited status. What Opsler handles is the administration around the job, not the certification itself.
