1.1 Information You Provide

  • Account Information: Name, email address, phone number, company name, and billing address when you create an account.
  • Payment Information: Credit card numbers and billing details processed securely through our payment processor (Stripe). We do not store full credit card numbers on our servers.
  • Business Data: Customer records, job details, technician information, invoices, estimates, and other data you enter into the platform.
  • Communications: Messages, support tickets, and feedback you send to us.
  • Media: Photos, documents, and files uploaded through the Service, including proof-of-service images.

1.2 Information Collected Automatically

  • Usage Data: Pages visited, features used, time spent, and interaction patterns within the platform.
  • Device Information: Browser type, operating system, device type, and screen resolution.
  • Log Data: IP address, access times, referring URLs, and error logs.
  • Location Data: Approximate location based on IP address. Precise GPS location only when explicitly enabled by technicians using the mobile app for dispatch purposes.

2. How We Use Your Information

We use the information we collect to:

  • Provide, maintain, and improve the Service
  • Process transactions and send billing notifications
  • Send appointment reminders and service notifications via email or SMS as configured by your account
  • Respond to your support requests and communications
  • Analyze usage patterns to improve features and user experience

3. How We Share Your Information

We do not sell your personal information. We may share information with:

  • Service Providers: Third-party companies that help us operate the Service, including Stripe (payments), AWS (hosting and storage), and Telnyx (SMS messaging).
  • Within Your Organization: Data is shared between users within the same tenant account as configured by the account administrator.
  • Legal Requirements: When required by law, regulation, legal process, or governmental request.
  • Business Transfers: In connection with a merger, acquisition, or sale of assets, with appropriate notice.

4. Data Security

We implement industry-standard security measures to protect your data, including encryption in transit (TLS 1.2+) and at rest (AES-256), regular security audits, access controls, and secure development practices. However, no method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

5. Data Retention

We retain your data for as long as your account is active or as needed to provide the Service. If you cancel your subscription, your data is retained for 90 days before deletion. You can request earlier deletion by contacting us. We retain certain data as required by law (e.g., billing records for tax purposes).

6. Cookies and Tracking

Our marketing website uses minimal analytics cookies to understand traffic patterns. The application platform uses essential cookies for authentication and session management. We do not use third-party advertising trackers.

7. Your Rights

7.1 For All Users

  • Access your personal data stored in the Service
  • Request correction of inaccurate data
  • Request deletion of your data (subject to legal retention requirements)
  • Export your data in a portable format
  • Opt out of non-essential communications

7.2 California Residents (CCPA)

7.3 European Users (GDPR)

If you are in the European Economic Area, you have additional rights including the right to data portability, the right to restrict processing, and the right to object to processing. Our legal basis for processing is contract performance (providing the Service), legitimate interest (improving and securing the Service), and consent (marketing communications).

8. Children's Privacy

The Service is not directed to children under 16. We do not knowingly collect information from children under 16. If we learn we have collected such information, we will delete it promptly.

9. International Data Transfers

Your data is processed and stored in the United States on AWS infrastructure. By using the Service, you consent to the transfer of your data to the United States. We ensure appropriate safeguards are in place for international transfers.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by email or through the Service. Your continued use of the Service after changes become effective constitutes acceptance of the revised policy.
