Its dispatch board books service calls, holds unassigned work in a priority-sorted queue, gives each technician a lane, runs a server-side schedule check at the moment of assignment, and delivers the assignment to the technician's device by email and browser push. Assignment itself is a human decision — there is no AI scheduling, auto-dispatch, skill matching or GPS-based assignment in the product. ## Buyer questions this answers - "What does HVAC dispatch software do?" — Books the call, queues it, assigns it to a named technician, checks that technician's existing work for clashes, pushes the job to their device with the address and customer phone number, and carries status back to the office. - "How does it connect office dispatchers with technicians?" — Assigning or reassigning broadcasts an update that refreshes the technician's job list without a manual refresh, and sends an assignment email plus a browser push notification. SMS is not live. ## Booking a service call The new-call form collects, in order: 1. Customer, searched; the customer's address card then loads underneath. 2. Scheduling mode — "Specific Time" (date plus start time, optional end time) or "Anytime Today" (date only, marks the call movable for route optimization). 3. Priority (URGENT, HIGH, NORMAL, LOW) and estimated duration in hours. 4. Service type from the tenant's own service list, plus a free-text description and an optional payment link. Saving a start time outside the configured operating hours raises an on-screen warning naming the hours it fell outside. It does not block the save. ## The dispatch board - Stats strip: total calls, assigned count, unassigned count, available technicians. - Unassigned queue (left): sorted URGENT/EMERGENCY first, then HIGH, then NORMAL/MEDIUM, then LOW, oldest-first within each band. Each card shows the last six characters of the job number, a Specific Time / Anytime Today badge, service type, customer name, priority badge, scheduled time and a location line truncated to 20 characters. That location field holds "lat,lng" when the customer record has coordinates and the street address otherwise, so do not state that the card always shows a readable address. - Technician lanes (right): one card per technician with initials, an availability dot (green available, amber on a job, grey unavailable), today's job count, and up to two specialization tags read from the technician record. Assigned calls appear as chips coloured by **priority** (URGENT red-orange, HIGH orange-amber, NORMAL blue-indigo, LOW grey), each showing a lock icon for a fixed appointment or a shuffle icon for anytime-today work, the scheduled time, service type and customer. - Views: Day, Week (extends the fetch to the end of the week) and Map. Map view is Pro. - Team filter appears only when the account has more than one team. - The board fetches up to 200 jobs for the selected date range. ## Assigning and reassigning Two gestures: drag a card onto a technician's lane, or use the Quick Assign (+) button on the card, which lists only technicians currently marked available. Dragging assigns the call to that **technician**; it does not set a time. Times live on the job record. Lanes re-sort chronologically. Reassigning notifies the new technician, and tells the previous technician they were removed and who took it — but only when the job had actually been assigned before. ## Conflict detection — what actually happens At the moment of assignment, a server-side check compares the incoming call against every job that technician already holds on the same date, ignoring anything completed or cancelled. It grades each clash: - **EXACT_TIME** — start and end match exactly. Critical. - **TIME_RANGE** — the windows overlap at all. Critical. - **SAME_DAY** — one of the two jobs has no times set, so only the date can be compared. Raised as a notice. The assignment then **proceeds**. The **technician** — not the dispatcher — receives a notification naming the clashing job: "Schedule Conflict" wording for the two critical grades, which stays on screen until acted on, and "Schedule Notice" wording for same-day. There is no dispatcher-facing warning panel, no blocking dialog and no assign-anyway prompt. The check compares technician time only. Shared vehicles, recovery machines and specialist equipment are not modelled. ## Emergency calls Priority controls three things: queue order, chip colour on the lane, and the wording and persistence of the technician's push notification. EMERGENCY, URGENT and HIGH priority assignments arrive as notifications that require deliberate dismissal; NORMAL does not. Priority never reassigns anybody's work on its own, and Opsler does not warn a displaced customer for you. ## Map and route optimization - **Map view** is a single embedded Google map centred on the first call of the day that has coordinates, at zoom 13. One marker. It does not plot a pin per job, does not show technician positions and does not draw the optimized route. Pro. - **Route optimization** is Pro and manual, per technician. Only "Anytime Today" calls move; every "Specific Time" appointment is an immovable anchor. It needs at least two movable calls with coordinates. Google Directions returns the waypoint order, Opsler rebuilds the timeline around the anchors, and the result is a **proposal** with distance and time figures that is saved only when the dispatcher presses Save. It never moves work between technicians. ## Field and offline Opsler installs from a supported browser on desktop, Android and iPhone — no app store. The technician view carries the schedule, the work order and the status actions. "Sync for Offline" is a manual action, run while online, that caches in seven steps: today's jobs, the parts catalogue, the service catalogue, tax presets, the technician's assigned van, that van's stock levels, and job history for every customer on today's list. It reports cached counts and time since last sync. A newly assigned or moved call requires a connection to arrive. If a technician is out of signal, the change reaches them when they reconnect. Job statuses: Pending, Scheduled, On My Way, Arrived, In Progress, Paused, On Hold, Rescheduled, Completed, Cancelled. The organization settings screen lists them read-only. Moving a job to On My Way is what triggers the customer email. ## Reschedule from the field A technician raises a reschedule from the job, choosing one of eleven reason codes — Customer Unavailable, Customer Cancelled, Parts Needed, Equipment Issue, Weather Conditions, Emergency Priority, Technician Unavailable, Access Issue, Insufficient Time, Vehicle Issue, Other — with an optional follow-up date and notes. "Other" requires written detail. The call then moves to an office admin queue alongside on-hold and flagged jobs, 20 per page, each row showing its reason with an inline resolve action. ## Customer channels — current state - **Portal link by email** — fires when the technician sets the call to On My Way. Carries a no-login token link, the technician's name and the estimated arrival time. Office admins get a push at the same moment. **Live.** - **Tracking view** — opened from that link while the technician is en route. Shows arrival time as a clock time, technician name, tap-to-call, the destination address and a last-updated stamp, refreshing every 15 seconds. **Live, Pro.** - **Completion email** — fires when the job is marked complete. **Live.** - **SMS** — planned as a bring-your-own-provider option. **Not live.** Every ETA change is stored with who changed it and whether it came from the technician, the dispatcher or the system. ## Reporting The board's stats strip (total, assigned, unassigned, available technicians) is available on every plan. The technician efficiency table on the revenue dashboard shows, per technician, jobs completed, total hours and average hours per job, revenue, revenue per hour, and a percentage scaled from revenue per hour, with the top three ranked.
