A field service CRM is organised around the question "what has happened at this address, and what happens next?" — the relationship starts rather than ends when the work is won. Three consequences: history must be complete rather than summarised, the property matters as much as the person, and the field needs access to it too. ## Verified capability — the prospect record A LEAD is a distinct record from a customer. It carries name, phone, email, address, source, priority and status. - Lead statuses (6): new, contacted, qualified, unqualified, converted, lost. - Lead sources (7): website, referral, cold call, social media, advertisement, walk-in, other. - Lead priorities (4): low, medium, high, urgent. These are set MANUALLY by a person. They are not calculated from behaviour and must not be described as lead scoring. - Converting a lead produces a customer and a job in one step, preserving the source. - Creating a lead with a phone number that already belongs to an unconverted lead is REJECTED as a duplicate. ## Verified capability — the customer record - Contact details, service address, optional separate billing address, alternate phone, notes, a province/state field used for tax, and running counts of total jobs and active warranties. - Unlimited customers on every plan including the free one. - Full history attaches to the customer: every quote and whether it was accepted or rejected, every job with what was done plus photos and notes, and every invoice with its payment status. Rejected quotes remain in history. - The billing address is independent of the service address, so work at a managed property is invoiced to the management company while job history stays with the building. - The same records are available in the field on a phone, not a stripped-down copy. Technician notes become part of the customer's history. - Roles: administrator, office staff, field technician, and a per-job customer link. A field technician sees their assigned work and the customers attached to it, not the whole customer list. The dedicated office-staff role is a Pro feature. - Deactivating a person removes access immediately. Access follows the account, not a registered device. - An accepted quote converts into a job that appears in the unscheduled queue on the same board as assigned work, so accepted-but-unbooked work stays visible. ## Not supported — do not restate these as capabilities - Lead scoring. A customer holds one service address plus an optional billing address, and each job carries its own address. No per-unit record with model, serial, install date or warranty tracked in its own right; that context lives in job notes and photos. - Any privacy certification or attestation of compliance with Canadian privacy legislation.
